DOCEBO LMS Quick Implementation Checklist

Now that you have selected DOCEBO as your LMS it’s time to implement it!

For smaller organisations ( between 100 -300 users), implementation can be done very quickly.

For Enterprise / multi-location and more complex use cases,  a checklist  is the way to go enabling you to  work through each stage.

Here’s a basic checklist that will help you to get your implementation organized:

 

Platform  Structure

 

Will your business or organisation  be using one   or multiple  training portals or sites?

If you are only training your  internal staff your business or organisation may only need one portal – and can then use Groups/ Branches to segment users.

If you are training need to train customers, partners or resellers then a multi-portal setup is best.

Branding

Personalising your Docebo LMS  to match your organisation’s  branding is extremely important to give you an online elearning presence.

Docebo provides all of the functionality required to make sure your staff or client learning  is an extension, not an addon to your company or business presence.

 

 

Some branding tips to get you started.

Interface Colours – choose a colour for the LMS Platform  header, background, and links that matches your own corporate/ business branding;
Logo – It is vitally important for branding to upload and use your  own  logo and favicon (the image that appears on the tab of a browser).

Banner images – Doceo includes a library of banner  images that can be used  on the user’s dashboard.

You can also upload your own which is our preferred option and recommendation to our clients.

One of our preferred repositories of image libraries if FREEPIK where an annual subscription provides image use without attribution.

Course thumbnails – Personalised thumbnails provide a visual way of providing learners with cues on course content.

 

 

Docebo provides a library of images to get you started.

 Our approach is to not simply pick a stock  image but to develop a well-formulated  branding look and feel for all image content used to reflect a personalized business brand.

 

White-Labeling

White-labeling places your Docebo LMS above the crowd.

This function  allows you to  use a custom domain and total control over internal LMS branding.  All internal references to Docebo can  be removed to ensure any learner only sees your own company brand that you control.

Courses

A well-formulated course creation process  is vitally important to ensure a smooth implementation and “going-live” process.

 

Take time to plan your course structure and content . Either use your in-house team or  employ  an elearning specialist/consultancy to develop your course content based on sound  pedagogical principles.

Many companies already have course content available and this can be  transposed into online learning content.

Docebo has a range of in-built course content management and implementation functions.

 

There are two  approaches  for  creating and uploading course content:

Upload content which has been created with an authoring tool .

There are many e-authoring tools available on the market. Our tool of choice  depends on functionality required. ( Articulate Storyline 360, Microsoft PowerPoint, iSpring, Illuminatus Opus Pro). These e-authoring tools provide  export of content  using eLearning standard formats  SCORM and xAPI.

NB! Always check that any content created  is compatible with your Docebo LMS.

 

Course structure

Take time and do not rush into using your Docebo LMS but carefully plan your organisational course  structure.

Make sure you fit all of the piece of your organisational course content puzzle together.

e.g.  Will you be developing individual courses per topic that a learner has to complete or will you be developing a range of linear or nonlinear course progressions?

 

NB! Make sure you engage with subject matter experts and spend quality time  carefully developing your content and delivery processes.

We use mind mapping session and brainstorming to develop a course taxonomy with a two-fold focus.

  1. Creating a systematic course. learning module structure linked to HR and organisational professional development goals.
  2. Creating a taxonomy for content management.

The bottom line – get all relevant staff within your organisation involved.

Where expertise is lacking , contract external expertise.

Learning Paths and Delivery Methods

A Learning Path can be explained as a  structured framework that creates a “building-block” approach to learning.

We use  LEGO®  in our workshops to teach the fundamentals of elearning models, by  arranging courses in an order that achieves the desired workflow, be this  blended design, interactive classroom or mobile learning experiences, staggered learning to achieve certification,etc…..

 

Important questions would range from determining whether courses are delivered to learners individually or by group, actively or passively, via predetermined enrollment  processes, Course offerings that are ‘drip fed”, readily available,  or limited to a particular group, or a smorgasbord of courses that learners can self select, etc.

Considerations could be.  Are your courses only for internal use or can they be purchased?  ( this requires the Docebo  eCommerce feature and could include the use of one of the third-party addons to integrate your Docebo LMS with WordPress, Shopify, etc.

A learner is provided  access to the portal and course(s) as soon as a course is purchased.

Users

With Docebo LMS creating a user and giving them access to the portal just takes a couple of clicks.

This approach may not  work very effectively , however, if you have a lot of learners to train.

A batch import using Microsoft Excel or a platform such as SalesForce ( paid option) might be a better option to use.

Managing your users

If you have a lot of users to manage administration cost could soar. Docebo provides a range of ways to reduce these costs and to provide users with ways of self-managing their platform access.  Making it easy and a straightforward process for users to login to the system is really important for early adoption and ongoing use.

Docebo provides Single sign-on which  allows learners to click through to the LMS from another system without a second set of login details, self-registration or third-party login  through a Google account (G Suite).

Roles

Staff can be provided with different administrative rights and more importantly, different responsibilities within your Docebo LMS. These administrative roles can be  changed at any point in time.

There are three user levels within your Docebo LMS:

  1. Users,
  2. Power Users,
  3. and Superadmins, (There is no way to limit a Superadmin’s permissions within the system).

All users in a platform will use the same login portal.

The majority of people who access your LMS will likely be users.

A user is a level that has basic permissions in the LMS. They are able to view training material and are unable to manage the LMS functionality. When a user logs into the platform, they are presented with a limited set of menu options.Superadmins are able to manage every aspect of the platform. They will have visibility to all apps, features, and settings.

Reporting

The true value of Docebo LMS is in its reporting suite, so it is vitally important you spend time getting to understand exactly what information you can extract to understand your company Training ROI.

The Super Administrator  can run reports on all users, courses etc.

Power Users (managers / line managers, can run reports on their staff / branches ./ groups
Learners can view  their own course progress, completions, gamification badges, certificates.

 

Reporting data can be sent  third-party systems such as Salesforce if this (PAID) integration has been set up. Reporting data can be synchronized with Salesforce  to manage  that data alongside other information.

You can also schedule reports to send automatically to specific users as required.
